How we hold and process your information
O Ddrws i Ddrws is a community transport service that has supported residents in the Llŷn area since 2002. The service was set up to help people who would otherwise struggle to get to essential places – such as shops, medical appointments, community activities, or social visits – due to limited public transport or difficulties accessing a vehicle.
Wavehill, an independent research company, has been commissioned to carry out an independent evaluation of the service. We collect your information to understand how the O Ddrws i Ddrws service is working and to assess its impact on users and the wider community. Participation is voluntary - you can choose not answer certain questions or withdraw at any time.
The information you provide will be used only for this evaluation. The O Ddrws i Ddrws team will collect your responses and add them to Wavehill’s secure survey system, SurveySparrow. Wavehill will then securely process and store the data. All personal information will be kept confidential and will not be identifiable in any reporting. Wavehill will delete the information you provide and all personal data relating to this evaluation within six months of the end of the evaluation.

1. Why is this work happening?
We are asking people who use the service to provide feedback so we can get a better understanding of what is working well, how we can improve, and of the impact the service is having on individuals and the community. Participation is voluntary - you can choose not answer certain questions or withdraw at any time.
2. What type of information is collected?
We ask participants to share their views on what is working well, what could be improved, and how they have benefited from the service. To help us understand who is using the service, we also ask for some information about you.
3. What is personal data?
Personal data means any information that could lead to a person being identified either alone or in combination with other widely-available information, e.g. their name, their address, or details specific to that person.
All data will be anonymised. Any comments that you make will be confidential and the information you provide will only be used for the purposes of this evaluation.
We do not share or use your information for commercial or marketing purposes.
4. How long does Wavehill hold personal data for?
Your personal data will be deleted within 6 months of the end of the evaluation (expected to be March 2026).
5. What is the legal basis for collecting and processing the data collected?
Legitimate interest. You can withdraw your consent (choose not to take part) at any time.
6. What is the purpose of processing your answers?
The data is used for improving the Wavehill team’s understanding of the project. By taking part, you will be helping the O Ddrws i Ddrws team learn and make improvements to the service.
7. Who has access to the personal data collected through the survey?
The data will be collected and put into Wavehill’s survey software, SurveySparrow, by the O Ddrws i Ddrws team. It will then be processed and stored securely by Wavehill. The data collected will only be used by Wavehill for analysis and reporting purposes. Language learning models and 3rd party software may be used to help us process data.
